The KDLA State Records Branch's newsletter hopes to provide you with updates from the Branch, tips on transferring and destruction, and other helpful information to make records management easier!

Commission Updates

The State Libraries, Archives, and Records Commission met on March 11, 2021, and approved revisions to the following retention schedules:  Finance and Administration Cabinet, Kentucky Lottery Corporation, Department of Revenue, Kentucky Department for Libraries and Archives, General Schedule for State Agencies, and State University Model.

The Commission is the approving body of all records retention schedules. If you need to make a revision to your agency's schedule, contact your Records Analyst.

Records pick-up for the State Records Center is currently suspended. Deliveries are being accepted and must be scheduled in advance. Please contact SRC Supervisor Aaron Eaton to schedule your delivery.

Digital Publications

A state agency publication or report is any published material, regardless of format, that documents agency-related functions or activities but does not include material issued for internal administrative use. Publications and reports contain important facts and statistics about the operation of the agency and its policies and are retained permanently because they provide information, often in summarized form, which aids in understanding the administrative functioning of the agency.

We offer general records management training. These are standalone sessions that will cover topics such as records retention scheduling, managing electronic records, transferring records to KDLA, and destroying records.

The session will be held on the following dates:
  • Thursday, April 22 at 2:00 p.m.
  • Wednesday, June 16 at 10:00 a.m.
  • Wednesday, August 18 at 2:00 p.m.
  • Tuesday, October 5 at 10:00 a.m.
  • Tuesday, December 7 at 2:00 p.m.
These two-hour sessions will be held virtually via Zoom. You may register through MyPURPOSE by searching for “KDLA Records Management: Policies and Procedures."
