Message from the
Chief Human Resources Officer

Once again, the summer months are upon us, and it is time to wrap up one fiscal year and begin planning for the next. However, this year also comes with a whole new set of challenges in response to the COVID-19 pandemic.

In this edition of the HR Newsletter, you will find information on what the University is doing to safely return faculty, staff and students to campus, new systems that will be rolling out this fiscal year, and the 2019-20 Harriet Montgomery Customer Service Award recipients. We appreciate the patience and understanding of every member of our campus community as we work through these uncertain times. Return to Work Information
As President Rudd stated in his return to campus update, we have a steering committee and multiple groups actively working on plans for our return to campus in the fall. The University is currently in Phase I of reopening. Phase I guidelines include the following:
  • The majority of staff will continue to work remotely unless required to be on campus at the explicit request of their supervisor.
  • Faculty will continue to work remotely for the foreseeable future unless authorized to be on campus by their dean and the provost.
  • A limited number of students with explicit approval are currently residing on campus.
  • Buildings are open only to University of Memphis community members with appropriate access.
  • Physical distancing of at least six feet between individuals remains in place in all campus spaces. This includes the interior of buildings and outside.
  • Face masks are required in all indoor and outdoor public spaces.
  • All those on campus must abide by University social distancing and mask protocols, including any contractors or visitors.
  • No events or gatherings may be held on campus.
  • The Phase I protocols in place across the various divisions include specific density limits in all workspaces and building areas, monitoring and reporting symptoms of illness, and related safety precautions.

We will move forward with Phases II, III and IV during the months of July and August, allowing for a return to campus for the fall semester. When possible, employees will receive at least one week of notice prior to implementation of each phase and/or re-implementation of the mitigation measures. No one should return to campus without authorization.
New Faculty Orientation

All new faculty appointed for at least one year must attend a Faculty UMboarding session hosted by Human Resources. This session will cover important information, including benefits programs. New faculty members will be receiving invitations to attend soon. We know the start of a new semester is a demanding time. For this reason, during the week of Aug. 10 we are offering five virtual UMboarding sessions:

Monday, Aug. 10   9-11 a.m.
Tuesday, Aug. 11 3-5 p.m.
Wednesday, Aug. 12 2-4 p.m.
Thursday, Aug. 13 8:30-10:30 a.m.
Friday, Aug. 14 8:30-10:30 a.m.
 
WorkforUM Faculty Offer Letters

Starting Aug. 1, all faculty offer letters will be handled electronically within WorkforUM and hiring departments will no longer need to send a paper letter via mail. A new Offer Letter tab will appear on the candidate’s hiring proposal. The department level, the dean level and the provost level can all edit this letter and all parties will be notified when a response from the candidate has been received. 

Chrome River Announcement

Beginning July 1, the University will be implementing the Travel & Expense system. The Chrome River system will be replacing the current paper process for submitting and processing cash reimbursements or travel claims all faculty and staff employees. If you missed the June 25 Chrome River Training and would like to know more about the system, be on the lookout for future training sessions that will be available soon.

LinkedIn Learning

If you haven’t already done so, head over to your myMemphis portal to activate LinkedIn Learning. LinkedIn Learning offers thousands of professionally developed courses to boost your knowledge and enhance your career.

Simply log into the myMemphis portal using your UUID and password. Next, click the Employee tab located at the top. Scroll down and look to the right-hand side of the screen for Training Opportunities to locate LinkedIn Learning.

Harriet R. Montgomery Service Excellence Award Recipients
The Harriet R. Montgomery Service Excellence Award was established through the University of Memphis Foundation with contributions provided by the generosity of the University community upon Harriet R. Montgomery's retirement in recognition for her many years of service to the UofM. This award recognizes University staff members who consistently demonstrate a commitment to the highest levels of service excellence. Each month, the University community has an opportunity to nominate colleagues from a specific division/area of the University. The monthly recipients receive a certificate of recognition, a $100 payment, a reserved parking space for the month and are featured on a University-wide announcement and the recognition website. The recipients are also recognized at a celebratory event during the following fiscal year.

COVID-19 Safety Tips
  • Wash your hands often with soap and water for at least 20 seconds, especially after you have been in a public place or after blowing your nose, coughing or sneezing.
  • If soap and water are not readily available, use a hand sanitizer that contains at least 60% alcohol. Cover all surfaces of your hands and rub them together until they feel dry.
  • Avoid touching your eyes, nose and mouth at all times. 
  • Remember that some people without symptoms may be able to spread virus.
  • Stay at least six feet (about two arms’ length) away from other people.
  • Cover your mouth and nose with an appropriate face covering at all times while on campus and especially when around others.
  • Continue to keep a minimum of six feet between yourself and others. The face covering is not a substitute for social distancing.
  • Cover coughs and sneezes and then immediately wash or sanitize your hands.
  • Clean AND disinfect frequently touched surfaces daily. This includes tables, doorknobs, light switches, countertops, handles, desks, phones, keyboards, toilets, faucets and sinks.
  • Be alert for symptoms. Watch for fever, cough, shortness of breath or other COVID-19 related symptoms.
  • Monitor your temperature if symptoms develop.
  • Follow CDC guidance and contact a healthcare provider if symptoms develop.
